Reporting Views

IntelliRel is changing the face of reporting possibilities with it's newest feature called "Reporting Views". Dramatically saving you time and money, cutting down on network traffic plus making it faster than ever to access your reporting needs. This technology is changing how data information is analyzed and processed in the 21st century.

You can now create and open additional views (report definitions) with the same [Query] RecordSet Filter. With "Reporting Views" you can query your data once and have Drill-Down Tally slice and dice your data with unlimited views to the same recordset. No need to create 10 individual report files. One report could have just a slight modification here and another report a slight change there. One report with a different sort here and another report with a different sort there. Now you can quickly create these same reports as views within one file with our newest innovation called "Reporting Views".

To create a view you must have a base report already created. A base report is the first report you create and is used to save it to a file name (.ddd). Basically this is same process you had when you created reports with Drill-Down Tally 2004. Prior to Drill-Down Tally 2005 you created one report in each file. So a file and a report were one in the same.

Drill-Down Tally version 2005 and later changed the one report per file to unlimited reports (Views) per file. Now the first (base) report you create is used to create the file to house all of your additional reporting views. You can think of these additional views as reports also. They do the same function. Traditionally one report is associated with one file. But with Drill-Down Tally there can be many reports (Views) in one file. With this technology Drill-Down Tally has become a report writer, business intelligence and a productivity tool all wrapped up into one package blowing away any other reporter on the market.

Now that we covered what views are, next we'll show you how to create them. First review help page New Report to learn the basics of creating a report. When you start the process of designing a new report, choose [No] when asked to borrow a report. Prior to creating a new report you are asked what dataset to base your report on. All views added to this one report file (.ddd) are all based on this initial dataset you choose.

When the tour is finished you should have a better understanding on how to create your first base report. After you create your first report, you may want to see the same report format but with just one field or group sorted in a different order. Maybe you want to change your group hierarchies. There are hundreds upon hundreds of little subtle changes you may want to do after creating your base report. This is exactly what views can do for you. You can save as many of these changes as you want to new views within the same report file.

After you decide what each change should be for a report, save these changes to the same report file with a different view name. You click on menu option [File] [Save Report Definition As A View...] to save a view within the same report file (.ddd).

This will bring up a dialog box for you to give it a new view name to reference it by.

Enter View Name

Type in a View Name and click [OK]. Drill-Down Tally will add this view (report definition) to the current file. Click your [View] tab to see all the views you have created.

Views

You can create views from any other view you have listed. Select a view and click [Open]. You can make some changes again and then save it as another view if you wish. It's just that easy! Note: When you open a view the records the report is based on are the same records from the view you opened it from.

Note: This is the speed or productivity benefit you get from views. You don't need to open another file and change your RecordSet Filter criteria and then [Query] the database again and again and again. Network administrator(s) will love this feature because it cuts down on tons of traffic and makes your network faster. Not to mention that you don't have to want for the results again and again, because we already have them from the last queried RecordSet Filter. You have the results already to use with as many views as you want.

Views can also have different groupings, calculations and field details that you might want to change. It's totally up to you how the views look and feel. The only thing the views have in the common is the record dataset they are created from. This makes for an excellent interface to query your data once, but have 5, 10, 20 or more views to printout reports from.

You can rename a view by clicking on the View Name you want to change and typing its new name. You can remove a view by clicking on the View Name and pressing the [Delete] key. You can also type in a longer purpose description as to views functionality.

No longer do you need to create 20 separate report files. Open each individually, run the query process again and again for each one. With Drill-Down Tall's "Reporting Views" you just filter/query your data once and open any or all of your views with the same shared record source. What a unique concept. Reporting has never been so easy and productive as it is with IntelliRel's "Reporting Views" technology.
