Sales Analysis
To view and analyze sales information, click the Sales tool on Keeper’s Main screen.
When you first enter the Sales Analysis screen Keeper is set up to display all of your sales between the first of the current month and today.
To view these sales you must click [Refresh].
There are five filter groups on Keeper’s Sales Analysis screen that let you configure the sales analysis display:
Period:
The Period group lets you select the time period for the report:
1. You can enter dates directly into the From and To boxes.
2. To see sales for today only, click [Today].
3. To see sales for a particular day, click the down arrow on the Select A Day box and then click the day you want to see sales for.
4. To see sales for last week only, click [Last Week].
5. To see sales for the current week, click [This Week].
6. To see sales for a particular month, click the down arrow on the Month box and then click the name of the month you want to see.
7. To see sales for the current year, click [This Year].
Filter by Stock Number, Supplier, Category:
You can use any combination of these filters to narrow the information on the sales analysis screen:
To set any of these filters:
1. Set the Period to cover the time period you want to look at.
2. Click the check box inside the filter group.
3. Locate the stock number, supplier or category or customer you want to see.
4. When you’ve set the filters you want to use, click [Refresh].
Filter by Customer:
You can filter the display and modify Keeper's printed sales analysis output so that it's confined to purchases by a specific customer:
1. Set the Period to cover the time period you want to look at.
2. Click the check box next to Customer Name in the Filter by Customer filter group.
3. Locate the customer for whom you want to show purchases.
4. If you want to show only purchases on account made by the customer, click the On Account check box. When you check the On Account check box Keeper turns off the Print COG/Profit check box
5. If you want the printed output not to show cost of goods sold and gross profit, un-click the Print COG/Profit check box.
Customer filtering can be combined with period, stock number, supplier, and category filtering
To print the contents of the Sales Analysis screen:
Click [Print].
You also can print the contents of the Sales Analysis screen to a tab-delimited text file that can be imported into Microsoft Excel. To do this, click the To Excel Text File check box before you click [Print]. Keeper will ask you to name the output file and tell where you want it to go, then create the file.
Reconstructing an Invoice:
To reconstruct an invoice:
1. Click the check box at the left end of the Reconstruct an Invoice frame.
2. Enter the invoice number in the Number box.
3. Click the green [Refresh] button.
4. To print a copy of the invoice, click the [Print] button.
Deleting an invoice:
If you enter a sale and your customer then changes his mind, instead of entering a sales return you can remove the invoice by reconstructing it in the Sales Analysis screen and then clicking the [Delete Invoice] button. BE CAREFUL! [Delete Invoice] returns the quantities in the invoice to their respective inventory items and removes all traces of the invoice. You don’t want to delete an invoice you’ve given a customer. Be sure to mark the printed invoice VOID after you’ve deleted it from Keeper’s database. Keeper won’t re-use the invoice number you’ve voided
