Inventory

To enter and edit inventory, click the inventory tool Inventory on the Main screen toolbar or use the Databases | Inventory menu sequence.

To Add Inventory items:

1. Click the New Inventory tool New Inventory  on the toolbar or use the Edit | New Item menu sequence. The New Inventory tool will stay depressed and the [Enter] button will appear. If you're going to enter a series of nearly identical items, open the Edit menu and click New Item Series. If you do this, each time you finish entering an item Keeper will retain most of the information on the screen.

2. Be sure the stock number is the one you want to use for this item. If you're using alphanumeric stock numbers, you'll need to enter the correct stock number. If you need to find the end of a series of alphanumeric stock numbers, click the [Browse] button next to the Inventory Name box. If you're entering merchandise that's already barcoded, just scan the barcode with your barcode scanner.

3. Enter an Item Name - up to 30 characters. You can also enter a description up to 255 characters long in the Description box. The Description prints on inventory lists but doesn't show on invoices. If you're going to print butterfly tags (also known as barbell or dumbbell tags) keep the item name short. When Keeper prints butterfly tags, if you elect to print the items' names, if a name is too long to fit within the printable area Keeper will skip the name rather than spoil the next tag in the column.

4. Find the Supplier for this item.

5. Be sure the Category for this item is correct.

6. Enter the Quantity on hand.

7. If this supplier is a consignor and you’re selling the item on consignment, Keeper will tab to the Current Pricing frame. Enter the List Price for the item. If you’ve agreed on a fixed price due the consignor after the item is sold, click the Unit Cost box and enter the fixed price you’ve agreed upon.

NOTE: If the Unit Cost includes a fraction of the smallest currency unit, e.g., in U.S. dollars a price such as $0.1158, hold down the <Alt> key and right-click the Unit Cost box. A small blue label that says "Fractional Input" will appear next to the Unit Cost box and you'll be able to enter currency values with up to four decimal places.

8. If this is a shop-owned item Keeper will tab to the Cost and Markup frame. Enter a Unit Cost and press <Enter>. If you’ve defined a normal markup for this category Keeper will compute a List Price when you click the [Compute Price] button. You can change the List Price if you want to. If you’ve changed the List Price you can re-compute the markup by clicking the [Compute Markup] button.

9. If this is an item you normally re-supply when it drops below a certain inventory level click on the Minimum box and enter a minimum quantity.

10. If you normally re-order a certain quantity of this item, enter the normal re-order amount in the Re-order box.

11. If sales tax doesn't apply to this item, check the Not Taxable check box.

12. If you're using inventory entry dates, be sure the date is correct.

13. Click [Enter].

When you’ve finished entering new inventory items click the New Inventory tool on the toolbar or use the Edit | New Item menu sequence a second time.

Once you've entered new inventory items you can print price tags for them.

To View and Print a List of Sales For An Inventory Item:

To see a list of the sales of the inventory item either double-click the small box that shows the number of sales or use the File | Show Sales menu sequence. Keeper will display the Sales screen showing sales of this inventory item for the year. To print the list, click the [Print] button on the Sales screen.

To Find an Inventory item:

To set the inventory sort order:

Click the Stock Number box or the Item Name box to make the box background green.

To search for an inventory item:

1. Make sure neither the New Inventory tool nor the Edit Inventory tool is depressed.

2. Enter a Stock Number or an Item Name (or partial name) and press <Enter>.

3. To move around in the file use the up-down spin button or use <Home>, <End>, <Pg Up> or <Pg Dn>.

To look at all Inventory items:

1. Set the sort order.

2. Click [Browse]

3. Use the Inventory Browse screen scroll bar to find what you want.

4. Click the line item.

To Edit an Inventory item:

1. Click the Edit Inventory tool Edit Inventory on the toolbar or use the Edit | Edit Inventory menu sequence. The Edit Inventory tool will remain depressed and the [Enter] button will appear.

2. Change the Item Name, Supplier, Category, Quantity, Purchase Price, List Price or Entry Date.

3. Click [Enter].

To Add or Subtract Inventory Quantities:

 You don’t need to edit an inventory item to increase or decrease its quantity.

1. Click the Quantity box inside the Add Inventory frame.

2. Enter the added or deleted quantity. If the quantity is to be subtracted use a minus sign.

3. Click the [Enter] button inside the Add Inventory frame.

If you're using entry dates, the Entry Date is updated automatically when you increase the inventory quantity.

To Delete an Inventory item:

Click the Delete Inventory tool Delete Inventory  on the toolbar or use the Edit | Delete menu sequence. If the inventory item is in use, Keeper will refuse the deletion.

To Print a List of Inventory items:

1. Click the Print Inventory List tool Print Inventory on the toolbar or use the File | Print menu sequence to bring up the Inventory Printing screen.

2. Set the sort order.

3. For a partial list, select a Start With and End With inventory item.

4. If you want to show only items in a particular category click the Filter By Category check box and select a category.

5. If you want to show only items for a particular supplier click the Filter by Supplier check box and select a supplier.

6. Click [Print].

If you want to print the selected inventory items to a tab-delimited text file suitable for import to Microsoft Excel, click the Print to Tab-Delimited Text File check box before you click [Print]. Keeper will ask you to name the file and tell where you want it to go, then create the file.

To Check Reorder Status

To see items that are below minimum levels plus the re-order quantities you entered use the File | Show Re-order Status menu sequence.

To Search Customer Wish Lists For an Item

Click the [Search Wish List] button.

Keeper puts the inventory item's name into the Search Phrase box in the Search Wish Lists screen. You can change the search phrase at will.

When you click [Search] Keeper searches all of your customers' wish lists for all of the words in the Search Phrase - no matter the order in which they occur. The search will find partial matches. In other words if you search for "bear," Keeper will find "bear," "bearing," "overbearing," etc.

You need to check the wish lists for the customers after the search has been completed. To do this, click each customer's name in the Customers box. The customer's wish list will pop up in the Wish List box. If the item that Keeper found in the wish list isn't the correct one, just double-click the customer in the "Customers" box to delete the customer from the search results.

Once your search results are satisfactory you can print the list by clicking [Print List] or you can print mailing labels by clicking [Print Labels]
