Categories

To enter and edit categories, use the Databases | Categories menu sequence.

Categories let you use the Sales by Category report to determine what kinds of merchandise are selling best.

To Add Categories:

Click the New Category tool New Category on the toolbar or use the Edit | New Category menu sequence. The next category number will appear, the New Category tool will remain depressed, and the [Enter] button will appear.

1. Enter a category Name - up to 26 characters.

2. If there’s a markup you usually use for this kind of item enter the percent in the Normal Markup For This Category box. A “keystone,” for instance, would call for an entry of 100.

3. Click [Enter].

When you’ve finished entering new categories click the New Category tool on the toolbar or use the Edit | New Category menu sequence a second time.

To Find a Category:

To set the category sort order:

Click the Number box or the Name box to make the box background green.

To search for a category:

1. Make sure neither the New Category tool nor the Edit Category tool is depressed.

2. Enter a category Number or enter a category Name (or partial name) and press <Enter>.

3. To move around in the file use the up-down spin button or use <Home>, <End>, <Pg Up> or <Pg Dn>.

To look at all categories:

1. Set the sort order.

2. Click [Browse].

3. Use the Category Browse screen scroll bar to find what you want. Click the line item.

To View the Inventory for a Category

Click the [View Inventory] button.

To Edit a Category:

Click the Edit Category tool Edit Category on the toolbar or use the Edit | Edit Category menu sequence. The Edit Category tool will remain depressed and the [Enter] button will appear.

1. Change the Number, Name or Normal Markup For This Category.

2. Click [Enter].

To Discount a Category’s Inventory:

Click the Edit Category tool Edit Category on the toolbar or use the Edit | Edit Category menu sequence to start the edit.

1. Enter the discount percent. If the discount is to be 20% enter “20” in the Sale Discount box.

2. If you're using inventory entry dates, today's date will be displayed in the box titled On Items Dated This Date or Earlier. If you click [Enter] at this point, all items in the category will be discounted. If you want to discount items that were entered on or before an earlier date, select the date before you click [Enter]. If you want to enter more than one discount based on the length of time items have been in the inventory, enter the later date first and press [Enter], then click the Edit Category Tool again, enter the earlier date, and press [Enter].

3. Click [Enter].

The discount doesn’t affect any inventory you add in this category after you’ve entered the discount. If you want to add the discount to new inventory, return to the Category screen and do the edit a second time.

If you discount a supplier’s inventory that includes items from this category the change will override the discount you set here.

To Delete a Category:

Click the Delete Category tool Delete Category on the toolbar or use the Edit | Delete menu sequence. If the category is in use Keeper will refuse the deletion.

To Print a List of Categories:

1. Set the sort order.

2. Click the Print Category tool Print Category on the toolbar or use the File | Print menu sequence.
