Message Filters
The second step in creating an auto reply is setting the incoming message filters. This is actually a screen for setting the conditions an incoming message must meet in order to be processed by Response Mailer.
These conditions are set by you inside this screen and are related to words that you expect an incoming message to contain and in specific fields in order to be processed by the Response Mailer (for example: subject line: “Subscribe” in a case of a newsletter subscriber).
Once you click on the “Next” button inside the screen for setting general auto reply information the screen for setting the incoming message filters will be displayed.
Setting Incoming Message Filters
You can enter the desired filters i.e. words for each of the following fields:
The following are the available parameters:
- Email Field – pull down menu for choosing the email filed this rule i.e. filter will be applied to (note: the default value is the one selected in the previous screen i.e. “Subject line”)
- Enter the word/phrase to filter on – input field for entering the word or phrase you want the incoming email to contain inside the chosen email field (for example: subject line); in the case of an auto reply for adding a newsletter subscriber, that would be “Subscribe”
- Add – button for adding the entered word (for example: Subscribe) to the list after defining it inside the “Enter the word/phrase” field
- Delete – button for deleting the entered word in case you have changed your mind; select the word in the “Field contains” part of the field and click on this button to delete it
- Field Contains – this part of the screen shows all entered words/phrases
- Email field contains ANY of the above lines – choose this rule if you want the incoming message to be processed by the Response Mailer in case the email contains any of the entered lines
- Email field contains ALL of the above lines - choose this rule if you want the incoming message to be processed by the Response Mailer only in case the email contains all of the entered lines
- Use the same letter case as the above word/phrase – choose this option if you want Response Mailer to process the email only in case the same letter case is contained inside the incoming message
- Above word/phrase are regular expressions – choose this option to indicate that you want to match words/phrase using regular expressions.
Note: a regular expression is a string that describes or matches a set of strings, according to certain syntax rules
- Above word/phrase have wildcard characters – Response Mailer allows you to enter words with wildcard characters; if that is the case, choose this option to indicate that you have entered wildcards
- Include this filter when checking for messages – you can use this option to toggle between on/off status for this particular filter
After setting this filter click on the “OK” button to complete the procedure. The filters screen with the defined filter will be displayed, where you can continue defining other filters inside any other email field by using this same method. |
