Action Tasks

After you define the data extractors and click on the “Next” button, the screen for setting Response Mailer actions will be displayed.

You can use these actions to tell the Response Mailer what to do after the conditions set by filters or data extractors have been met.

The following are the available actions:

  • Send an Email – use this option if you want Response Mailer to send an email in case the conditions have been met Example: You have set the filter “Subscribe” because you want to add the subscriber sending you an email with subject “Subscribe” to the newsletter list; if this is the case, you may set the “Send an Email” action to welcome the user to the Newsletter list
  • Delete Incoming Email – option for deleting an incoming email
  • Forward Incoming Email – option for forwarding an incoming email
  • Prospect Opt-in/Opt-out – option for adding or removing prospect from the list (for example: newsletter)
  • Write data to File – option for writing data from the incoming email into a text file on your local system
  • Run a program – option for running a program as a response to an incoming email

Send an Email

Sending an email action.

In order to set the send an email action, choose option “Send an Email” from the “Actions” screen. The following screen will be displayed.

The following are the available email parameters:

  • From – field for setting the senders email and name i.e. the name and email of your company
    this icon is used for automating the contents of the fields
  • To – field for setting the recipients email (note: use the icon to set the email address of the person who sent the email automatically)
  • Cc – you can send a carbon copy to the desired email address (note: use the icon to set the desired address)
  • Bcc – you can send a blind carbon copy to the desired email address (note: use the icon to set the desired address)
  • Subject – use this field to set the subject of the message (for example: “Welcome to our Newsletter”)
    Attachments – click on the “Add” button to add a document that will be sent as an attachment (for example: a brochure or price list or any other file)
  • Include this action when checking for messages – option for toggling between on/off status for this action
  • After setting the desired parameters, click on the “Next” button and the screen for defining the email body will be displayed.

This screen contains various options for formatting the text as well as possibility to automate the body of the message by using “Email fields” option (see 5.1.9 for further information on email fields).

For example: you can use the icon to enter the email fields dialog and choose field [[SenderName]] to automatically include the name of the sender at the beginning of the message. In case the sender’s name was “John Smith” the email that will be sent by Response Mailer will read “Dear John Smith”.

After setting the desired text inside the body of the message click on the “Finish” button. The “Actions” screen will be displayed where you can decide to define another action or complete the procedure of setting an action.

Formatting an email message body

This section will give instructions for using each of the options for formatting the email message body in case you are sending an email in HTML format (note: this format is set by default and can be changed by using the plain text format from the menu).

Defining the merge fields

Response Mailer allows you to use special fields that will be expanded to the actual content when used in an action task. Depending on the type of merge field, it could have either a fixed value or its value could change based on the information in the incoming email.

For example: [[Company]] would be expanded to 'Devicode Technology'.

In order to use a merged field, click inside the desired email (for example: “To”) and click on this icon. The following screen will be displayed.

To define the desired field, select one from the list and click on the “Insert Field” button.
