Adding/Editing/Deleting Account
To open the Accounts screen (Figure 9), use the Databases | Accounts menu sequence or click the Accounts tool on the toolbar.

When you first enter the Accounts screen display, TrakLoan displays all the ac- counts in your database. accounts with an asterisk after their names are payable ac- counts. To limit the display to a specific account category, click the Limit View tool or use the View | Limit View menu sequence.
In the Select Account Type screen (Figure 10) click the loan type you want to view. If you want to see just receivables, click the [Receivables] button. If you want to see just payables, click the [Payables] button. To see all loan types, click [All].
You can view the list of accounts either numerically by Account Number or alpha- betically by account Name by clicking the appropriate radio button

Adding an Account
- Use the Edit | New Account menu sequence or click the New Account tool
on the toolbar. The [Update] and [Start Over] buttons will appear.
- Enter the Loan Number for the new account and use the <Tab> key to move to the Name box. If the loan number duplicates the number of an existing loan TrakLoan will tell you so and let you enter a different number. You can use up to six digits in a loan number. (NOTE: If you want to keep your hands on the keyboard while you enter a new account, use the <Tab> key to move from box to box.)
- Enter the account Name. The name can be up to 32 characters long.
- Enter the Disbursement Date. You can enter dates in any standard format, for example, ‘‘Jan 3, 2000’’, or ‘‘1/3/00’’. When the cursor is in a date box you can in- crease or decrease the date a day at a time with the up-arrow and down-arrow keys.
- Enter the Date Loan is Due.
- Enter the Approved Balance. When you enter a number in the Approved Balance box, the cursor stays at the right side of the box and the numbers move to the left as you enter them. All dollar amount boxes in the Accounts screen are right-justified in this way to make them easier to read.
- Enter the Interest Rate. Interest rate is expressed in percent with up to three digits after the decimal point.
- Enter the Scheduled Payment amount. The Scheduled Payment box is right- justified.
- Enter the Day Of Month the payment is due.
- Use the mouse to select a Loan Type from the list in the bottom right part of the screen, or tab over to it, use the up and down arrow keys to find the loan type, and press the space bar.
- If you want to avoid entering a disbursement through the Journal:
a) Enter the transfer date of the funds in Date Of Last Transaction. By default, TrakLoan will enter the Disbursement Date in this box for you. b) Enter the transfer date again in Date of Last Payment. TrakLoan will enter Disbursement Date as a default. c) Enter the amount of the loan in the Remaining Balance box. If this is a payable, enter the amount as a negative quantity, using a minus sign.
- If a payment on this account automatically generates a payment to a payable ac- count, enter the number of the payable account in the Link to Payable Number box. Establishing this linkage allows you to enter a payment automatically to the payable when you enter the receivable payment. (Section 4.1, Page 30)
- When you’re satisfied with the information, click [Update].
At any time while you’re entering a new account you can click the [Start Over] but- ton to clear the boxes and begin again.
Editing an Account
- In the Existing Loans box on the right of the Accounts screen, click the ac- count you want to edit.
- Use the Edit | E dit Account menu sequence or click the Edit tool
on the toolbar. The [Update] and [Start Over] buttons will appear.
- Change the elements that need changing.
- Click [Update].
At any time while you’re editing an account you can click the [Start Over] button to restore the original values and begin again.
After a new account has been added and the journal has been posted, you won’t be able to edit Date of Last Payment, Interest Paid This Year, Total Unpaid In- terest, or Remaining Balance. To change these values you must make changes in the payment history.
Deleting an Account
- In the Existing Loans box on the right of the Accounts screen, click the ac- count you want to delete.
- Use the Edit | Delete Account menu sequence or click the Delete tool
on the toolbar.
