Setting up My-CRM

Date Format

Select the date format for your location either as dd/mm/yy or mm/dd/yy

VAT/Tax/GST

If you charge tax from your company, select the descrioption you wish to use and click on the "Charge VAT/Tax/GST check box. If you select GST, you will have the option to enter your ABN number (Austrailia)

Currency

Select the currency you invoice in. The your currency doesn't appear in the list click on the "Edit Currencies" button to add a new currency

Zip or Post Code

Select the description you wish to use for Post Code/Zip

Stationary

My-CRM has a number of Quotation and Invoice layouts. Select either "Plain Paper" or "Letterhead" as the paper type your wish to use

Service/Product

Select the default Invoice screen layout you wish to see. If you select "Service" you will not be presented with a product code on the invoice screen. Please note if you have not check the "Charge VAT/Tax/GST" check box then tax will not be shown either

Preferences

Enter your name and company details on the first page. If you use plain paper rather than letterheaded paper to print your invoices and quotations you may attached your company logo. You will find plain paper will be your preferred choice if you wish to email your invoices and quotations. If you are a Limited company in the UK click on the "Registered Office Details" button to enter details regarding your registered office address and company no

Preferences

As you click on the next button, enter details as next account no, quotation no etc. My-CRM will also let you set up custom fields. 5 Text, Date and Numeric fields are available in the contacts, invoice and project modules. The contact screen will also allow 3 popup custom fields where values can be selected from a list.

When you get to the Invoicing screen you can set Ageing details. This is very useful when chasing up outstanding invoices. These values will be used in Ageing reports and on the Ageing screen

My-CRM will also print statements to be sent to your customers. These statements can show outstanding items only or include a full history including payments

Invoicing

The project screen has a number of settings

Description

Enter the description for projects. You may wish to change it to Jobs or Cases for example

Next Project No

Enter the reference number for the next project to be created

Def Open Status

By default the status of a new project is "Open". You may change this if required

Def Close Status

By default when you close or complete a project the status will be set to "Closed". You may change this if required. Please note Projects shown with this value will only appear in Project History

Time Description

Enter a description for your time charges. You want to change this to Labour

Product Description

Enter a description for product costs for the project

Expense Description

Enter a description for your expense charges

Projects

Click on Finish once you have completed the Wizard. Please note you will be presented with this wizard until you have completed it. Once completed you can click on the settings button Settings on the tool bar to change any settings. You will then be presented with the settings page in a standard windows form rather than a wizard
