Quick Email

This form allows you to compose and send a quick email. You can also compose the email in your default Email client. Note that you must have a MAPI compliant email client software (e.g Microsoft's Outlook Express) installed to send emails with Quick Email.

  • From : This is obtained from the list of accounts in your default MAPI Email software
  • To : Key in the email address of your recipient here or click it to bring up the address book.
  • C.C : Key in the email address of your recipient here or click it to bring up the address book.
  • Attach : Click this button to browse and insert an email attachment.
  • Delete : Select the attachment and click delete if you want to remove an attachment from the attachment list.
  • Subject : Enter a subject for your email here
  • Body : Enter the main text of your message in the space provided.
  • Send Now : Attempts to send the email through your default email client. Internet access is required. If your not connected, you should click the Compose button.
  • Compose : This brings up your default email software such that you can compose it or select other recipients from its own address book. In MS Outlook Express, you can simply put it in its Outbox if you are not connected to the Internet and wish to send the email out later.
  • Close : This of course closes the Quick Email from.

Quick Email - SMTP

To send email to customers or vendors, use the menu option Go To | Quick Email. You can also email your invoices, quotations and reports directly from within Ezy Invoice 7. Ezy Invoice 7 sends your documents out as PDF attachments. PDF (adobe acrobat) is now the industry standard when sending document over the internet. The attachment is small and it ensures that the document is printed out on the recipients computer the same as how it is on your own computer.

  • From : This is obtained from the list of accounts in your default MAPI Email software
  • To : Key in the email address of your recipient here or click it to bring up the address book.
  • C.C : (Carbon copy) Key in the email address of your recipient here or click it to bring up the address book.
  • B.C.C : (Blind carbon copy) use this to send another copy. This is usually used to send a copy to an internal email address so you/ your company will also have a copy of the email sent out. Ezy Invoice 7 saves this email address so you do not need to re enter it everytime.
  • Attach : Click this button to browse and insert an email attachment.
  • Delete : Select the attachment and click delete if you want to remove an attachment from the attachment list.
  • Subject : Enter a subject for your email here
  • Message : Enter the main text of your message in the space provided. You can use Rich Text formatting like bold, italics, specify fonts and other settings. You can also use hypertext links in your message. For example if you list your company name, and you want to link back to your website, simply highlight your company name then click the hyperlink Insert Link button. Enter your web URL then press enter.
  • Paypal Link : Ezy Invoice 7 allows you to easily insert a "About_Paypal.htm" link that enables you to receive on-line credit card payment from your customers. You must first have a Business Account with Paypal. You can find out from "https://www.paypal.com/au/mrb/pal=8J6Q4FD227TMA" . Once you have an account with Paypal, first put your cursor anywhere in the message where you want the link to appear. Then click the Paypal Paypal button. Enter your Paypal Email Account. Double check if the other information is correct then press Insert . Ezy Invoice 7 will then insert a Paypal at the current cursor position.
  • Send Now : Attempts to send the email through your smtp mail server. Click the Settings button to specify or change your mail server. This setting is usually given by your ISP (Internet Service Provider). Your ISP will usually have a dedicate mail server that sends or dispatches email for you. Ezy Invoice 7 will attempt to deliver your email through this mail server.
  • Close : This closes the Quick Email from.

SMTP Settings

These settings are required so Ezy Invoice 7 can email your invoices and quotations.

Mail Server : This entry is provided by your Internet Service Provider. If you are already able to send emails using other email software like MS Outlook Express, you can fill in this entry as follows

  1. Start Ms Outlook Express then click Tools | Accounts | Mail Page.
  2. Double click the Account that has the words "default" next to it. This brings up the Properties box for this account. Click on the Servers page.
  3. With your mouse, highlight the text in the box labeled Outgoing Mail (SMTP). With your keyboard, hit CTRL + C to copy it to your clipboard.
  4. Now comeback to Ezy Invoice 7 and click in the Box labeled Mail Server (SMTP). Then type CTRL + V to paste the contents in.

If unsure, you need to contact your ISP for the value that you can specify here.

  • Port : This is the Port in which your mail server is listening. In most cases the default is 25 and you should not need to amend this unless your ISP tells you so.
  • Server Needs Authentication : If your mail server requires authentication, click this button to specify a user name and a password. In most cases you will not need to use this option.
  • User Name : Only required if you enabled authentication.
  • Password : Only required if you enabled authentication

Email File Attachment

Specify the file format in which you wish to send the report out. We strongly recommend you use PDF as this is the now the defacto standard used and the PDF reader is available free.

IMPORTANT : Using any other format other than PDF may result in differences between your report and the exported format. These other formats are provided more for your internal use, for example if you wish to furthur edit your report data in MS Excel.

Address Book

You can open the address book by clicking on To or the C.C button in the Quick Email dialog.

Select your email Recipients from the available list. You can choose from:

  1. Customer List
  2. Vendor List
  3. User List (This is an internal list from within your own company or business)

Once you have found the contact you want, double click it to insert it into the "To" list or click the "C.C" button to insert it into the C.C list.
