Creating New Database

Before you can start to use Ezy Invoice, you need to create a new Database that stores all your data on disk. Note that if yours is a multi-user installation, you may have the options of installing in a Workgroup or Client Server Model.

Refer to one of the following installation models that is appropriate for you :

  1. Creating a New Database in a Standalone Environment. In this setup, both the application and the Database will be installed on the same computer and only one user will access the data from the same computer at any one time.
  2. Creating a New Database for A Multi-User, Workgroup Environment. This is recommended installation for 2 to 3 Users on a stable Network accessing the data concurrently.
  3. Creating a New Database for a Multi-User, Client/ Server Environment. This is recommended for 4 to 30 users accessing the data concurrently. Or if your 2 to 3 user network is very unstable.

Creating a New Database in a Standalone Environment

  1. Launch Ezy Invoice
  2. Select the menu option : Database | New
  3. Ezy Invoice will then display the New Database Wizard simply follow the step by step procedures in the Wizard.

Creating a New Database for A Multi-User, Workgroup Environment

You need to decide which computer on the network will host all your data files. This computer will be known as the Server. See also Choosing a Server.

  1. First Install Ezy Invoice on your selected Server.
  2. Launch Ezy Invoice
  3. Select the menu option : Database | New.
  4. Ezy Invoice will then display the New Database Wizard simply follow the step by step procedures in the Wizard. Take note of the folder that you created for the New Database.
  5. Launch Windows Explorer, browse to the Newly created database folder. Right Click the folder and select Sharing. In the Sharing Dialog box, select Sharing As and Full. Note that the exact commands may vary for different versions of Windows if so please refer to the Windows Help on Sharing. You must Share out the database folder in order for other computer on the Network to access the data in a workgroup model. You must also provide FULL access for Ezy Invoice to work properly.
  6. Install Ezy Invoice on the other Computers that need to access the data (The other computers are also known as Client computers).
  7. On each of the other client computers, select the menu option : Database | Open. Ezy Invoice will display the Open Database Dialog
  8. Click the Add button. This will launch the Add New Connection Wizard . Follow the rest of the steps in the Wizard to complete the setting up. Make sure you select Workgroup as your connection type and the Database Path should point to the Shared database path on the Server

Creating a New Database for a Multi-User, Client/ Server Environment

You need to decide which computer on the network will host all your data files. This computer will be known as the Server. See also Choosing a Server. Note that you should install the server software on the same computer where the database resides. Never install a database server and place the data files on another physical computer.

  1. First Install Ezy Invoice Database Server on your selected Server. Ensure that the Database Server is running on the computer. (If it is running, you should be able to see a small Server Icon Insert Link at the bottom right hand corner)
  2. Install Ezy Invoice on the Server Computer and launch it.
  3. Select the menu option : Database | New
  4. Ezy Invoice will then display the New Database Wizard simply follow the step by step procedures in the Wizard. Ensure that you select Client Server for your connection Type. Take note of the folder that you created for the New Database.
  5. Install Ezy Invoice on the other Computers that need to access the data (The other computers are also known as Client computers).
  6. On each of the other client computers, select the menu option : Database | Open. Ezy Invoice will display the Open Database Dialog
  7. Click the Add button. This will launch the Add New Connection Wizard . Follow the rest of the steps in the Wizard to complete the setting up. Make sure you select Client/ Server as your connection type.

The New Database Wizard takes you through the steps to create a new database easily. It consist of 3 pages as follows :

  1. Database Information - Page 1
  2. Connection Details - Page 2
  3. Company & Tax Details - Page 3
  4. Confirmation - Page 4

New Database Wizard : Page 1 - Database Information

  • New Company Name : Enter the name of your company or the database name
  • First Name : Your own first name e.g 'Henry'
  • Last Name : Your own last name e.g 'Stevens'
  • User Name (Login) : A name you want to use for logging in to the database. Ideally you should omit spaces. E.g 'HenryS'. The username is case - insensitive so it doesn't matter if you use upper or lower case. User Name can be any alpha numeric character up to 12 characters long.
  • If you are trying to login through a Client Server connection see also : Client Server Loggin for the Initial User Account to the Server
  • Password : A password for logging in. Can be any alphanumeric characters up to 10 characters. You password is case sensitive so you need to remember if you used upper or lower case.
  • Confirm Password : Repeat your password to ensure that you typed it correctly the first time.

Note that this User Account you created is the Administrator account which gives you full permissions to your database.
